Corporate Christmas and End-of-Year Gifts: A Procurement Planning Guide

Corporate Christmas and end-of-year gifts are presents companies give employees, clients and partners to show appreciation.

To plan your order, confirm the recipient list, total budget and delivery deadline. Then choose suitable gifts, compare quotations, approve the details and agree on the delivery schedule.

When should you start planning?

For bulk orders involving branding or several destinations, allow six to eight weeks before handover as an internal planning window. The supplier must confirm the actual lead time.

· Start with the last date recipients can receive gifts, considering office closures and staff leave.

· Allow time for quotations, samples, internal approvals and payment.

· Confirm the production and delivery dates before promising them internally.

· Ordering late? Ask what is available within your deadline and simplify branding or package variations.

How much should you budget per recipient?

There is no fixed amount every company should spend. Work from your approved budget and recipient count, allowing for the full cost of delivery.

Your budget should cover:

· Gift contents and packaging.

· Branding, personalisation and any sample or setup charges.

· Delivery, applicable taxes and fees.

· A reserve for agreed changes or unexpected costs.

Example: A ₦5 million budget for 100 people, with ₦1 million reserved for other costs and contingency, leaves ₦40,000 per gift box. This is an illustration, not a Trelluna quotation.

Ask what each quote already includes so you do not count the same cost twice.

Which gifts work for employees and clients?

Choose gifts based on how the recipient will use them. You can explore Trelluna’s corporate gifts for starting ideas.

· Employees: Useful individual gifts such as notebooks, drinkware or selected treats. Keep value reasonably consistent for a general staff appreciation programme.

· Client teams: Shareable hampers or office treats, with quantities suited to the team size.

· Named clients or partners: A personalised gift that fits their preferences and gift policy.

· Food hampers: Confirm brands, quantities, expiry dates, food exclusions and alcoholic or non-alcoholic drink preferences.

Use Christmas wording where appropriate, or an end-of-year appreciation message for a broader audience.

What should you send the supplier for a quotation?

Send one clear brief so the supplier can price your actual requirements.

· Your company name and the person coordinating the order.

· Recipient groups, gift quantities and total budget.

· Preferred contents, exclusions, branding and card wording.

· Delivery locations and the date gifts must be received.

· Any sample, invoice, purchase-order or payment requirements.

Ask for an itemised quotation showing what is included, extra charges, quotation validity and payment terms. Also confirm minimum quantities, stock availability, substitution rules and how damaged or incorrect gifts will be resolved.

Minimum quantities depend on the items and branding method; confirm them for your specific order.

What should you approve before production?

Approve the contents, presentation and artwork before the full order is produced. Request a finished sample where practical, agreeing any sample charge first.

· Check product quality, quantities and packaging against the quotation.

· Confirm names, logos, spelling and the gift message.

· Agree which substitutions require your approval.

· Appoint one person to send the final instructions and record changes.

A company logo is optional. A branded card or packaging sleeve may be enough. Artwork previews show the design; a physical sample helps you judge the finished quality.

How should you organise delivery?

Decide whether the gifts will go to one office or separate recipient addresses before finalising the quote.

· One office: Confirm the receiving person, access hours, gift count and storage space.

· Separate addresses: Confirm recipient names, reachable phone numbers, full addresses and availability. Collect personal addresses with permission.

· Delivery completion: Keep a record of gifts received and follow up on outstanding or damaged packages.

Trelluna delivers Monday–Saturday, with no Sunday delivery. Locations outside Lagos require confirmation. Bulk and branded orders need an agreed schedule, especially during the Christmas period.
